Batch Processing


In the project archive, it is possible to edit the metadata and permissions of several media entries or sets simultaneously.

:!: Simultaneous editing of media entries and sets is not yet possible.

1. Edit media entries in the batch

Batch processing of media entries is usually useful if these entries originate from a single project and have a lot of matching metadata (e.g. author, copyright, degree program, course, keywords, etc.). Batch processing can also be used to grant the same permissions for several media entries and to publish or share them with a group.

1.1 Select media entries

Select the media entries to be edited. If you want to edit complete media entries, you will find them under the menu item “Media entries”. Incomplete media entries (without metadata) can be found under the menu item of the same name. If you want to edit media entries from a specific project, open the set to which you have added the entries.

As soon as you see the media entries, you can select individual entries by hovering over them with the mouse. A box will appear around the entry with a checkbox at the bottom left that you can click on. ILLUSTRATION FOLLOWS

You can also select an entire page (gray bar on the right).

Selected entries are outlined with a fine blue line.

You can change the view of your media entries by selecting one of the four icons in the gray bar above the entries. This can make multiple selection easier.

1.2 Edit meta data

Once you have made your selection, click on the “Actions” button on the right and select “Edit metadata of media entries”. Briefly check whether the number of selected entries displayed is correct.

Now enter the metadata that applies to all selected entries. Information that has already been entered is displayed in the respective fields. If the information in the metadata fields of the selected entries differs from each other, the field is displayed empty in the batch processing, but is highlighted in yellow (see 1.3 Different metadata).

Click on “Save” at the end.

:!: Your entries will be saved for all selected media entries! Be careful not to overwrite anything unintentionally. There is no “Undo” function.

After saving, you can edit each media entry individually.


1.3 Different metadata

If you are editing media entries in the batch that already have different metadata, this is indicated by a yellow background in the corresponding fields. A box with a corresponding note also appears on the right:


:!: Changes will replace existing data. If no changes are made, data will be preserved.

To delete entries in the fields for all selected entries, click on the button on the right and select “Delete data for all content”. It is not sufficient to manually remove the data from the field.

You can also simply enter additional metadata, for example keywords, in the metadata fields highlighted in yellow and they will be added to all entries.


1.4 Assign permissions

To assign the same permissions for several media entries, select the desired media entries and click on “Edit permissions for media entries” under the “Actions” button.

2. Sets im Stapel bearbeiten

Batch processing of sets is usually useful if the sets have a lot of matching metadata (e.g. author, degree program, course, semester, keywords, etc.). Batch processing can also be used to grant the same permissions for several sets and to publish them or share them with a group.

2.1 Select sets

Select the sets to be edited. The hierarchy - whether subset, project set or neighboring set - does not matter. You can find all your sets under the menu item of the same name. If you want to edit the subsets from a single project, open the corresponding project set to which the subsets have been added.

You can select individual sets by moving the mouse over the set. A box will appear around the set with a checkbox at the bottom left that you can click on.

2.3 Different metadata

2.4 Assign permissions

3. - Item “Batch processing” in the menu (“My archive”)

The “Batch processing” menu item in the “My archive” area is particularly useful if you want to batch process media entries and/or sets from different projects and/or create dynamic documentation that changes over the course of the project. You can also use this menu item to add several media entries and sets to another set.

Sets and media entries selected by you for batch processing are saved together under this menu item so that you do not have to jump back and forth between different projects and sets to edit them at the same time.

3.1 Add to batch processing

To add entries and sets to this menu item, you must select them. For example, open a set and select the media entries and/or subsets referenced in it that you want to use for batch processing. In this case, you can select sets and media entries at the same time. Then click on the “Actions” button on the right and select “Add selected to batch processing”.

3.2 Edit in batch processing

Open the “Batch processing” menu item and select the media entries or sets to be processed.

Proceed as described in points 1b/c and 2b/c when editing the metadata.

You can also add the selected entries and sets to another set by clicking on “Actions” and selecting the corresponding action.

3.3 Remove from batch processing

Once you have finished editing the added entries and sets in the batch, you can delete them from the batch processing.

The entries and sets are retained, but are no longer displayed under the menu item. In this respect, the “Batch processing” menu item is similar to a set and only references the added content.
