Submitting projects


Schaufenster is open to all users of the project archive: Anyone can submit their projects for Schaufenster.

How a project is submitted and which standards must be met depends on whether it is

1. a graduation project (diploma or master's thesis) or

2. another project (seminar projects, independent projects, prediplomas, etc.).




1. Submitting graduation projects


The HfG archives documentation of all graduation projects in the project archive. Graduation projects include only diploma and master's theses (no prediploma).

Graduation projects are displayed in a highlighted area on Schaufenster. Publication on Schaufenster is automatic via the ORC, provided you have given your consent and your documentation has been archived.

2. Submit other projects


In addition to graduation projects, other projects can also be submitted — whether they are seminar projects, independent projects, or prediploma. Your project will only be published on Schaufenster if you actively submit it via the “Schaufenster Inbox” set: https://madek.hfg-karlsruhe.de/sets/schaufenster-inbox

In order for your project to be displayed on Schaufenster, please note the following:

a. Requirements

Create documentation for your project in the project archive: Documenting projects.

The following minimum requirements apply to Schaufenster. However, we recommend that you enrich your project documentation with more media and metadata than the minimum requirements specify.

Minimum requirements

Your project consists of a project set with at least 3 media entries assigned to it. If you create subordinate sets, these will also be displayed on Schaufenster. The description text of the subordinate sets will also be displayed.

:!: Please make sure that your subordinate sets do not contain any further sets, but only media entries. Avoid more deeply interconnected sets.

Metadata

All the necessary metadata can be found in the project archive under the “Showcase” tab.


The following metadata must be filled in for the set (see the “Schaufenster” tab in the project archive):

  • Title, subtitle if applicable (German, English recommended)
  • Author (note for teachers: this field does not need to be filled in for a seminar)
  • Description (German, English recommended). Please note: The “detailed description” field is not displayed in the showcase. See the FAQ for more information.
  • Degree program (In which degree program are you doing your project?)
  • Semester
  • Project supervisor (Enter the names of the seminar leaders or supervisors of your project in this field.)
  • Project category (We recommend selecting a maximum of three categories.)
  • Keywords
  • If prediploma: Check the box for prediploma
  • If applicable: Contributors
  • If applicable: Project characteristics


The following metadata must be filled in for media entries (see the “Schaufenster” tab in the project archive):

  • Media title
  • Copyright
  • Media creator
  • Legal protection / license


The following metadata must be filled in for subordinate sets:

  • Title
  • Subtitle (German, English recommended)
  • Recommended: short description (German, English recommended)


Permissions

In order for your project to be displayed on Schaufenster, you must make it public. Publicly shared sets and entries can be identified by the globe icon in the upper left corner above the preview image.
Set the permissions for the set, all media entries, and subordinate sets to Internet (check both boxes). Remember to click “Save.”

Submission

Once you have documented your project in the project archive and met all minimum requirements (including the setting of permissions), you can submit your project via the Schaufenster Inbox set:

:!: Be sure to notify the ORC of your submission by email! The ORC does not receive automatic notifications.

Review of the project

The ORC will check your submission for compliance with the specified standards (minimum requirements). The ORC will inform you if any changes are necessary.

Transfer of responsibility

Once the review is complete, you will be contacted so that you can transfer responsibility for your set and media entries to the “ORC” responsibility group.



:!: While your project is displayed in the showcase and responsibility has been transferred to the showcase editorial team, you can no longer edit your project yourself.




c. Removing or changing projects

Projects can be removed from Schaufenster at any time. To withdraw your submission or make unexpected changes, please contact the ORC:

:!: Schaufenster is synchronized with the project archive at regular intervals. It is possible that you will not see your project on Schaufenster immediately after submission.
